How to Prepare an Effective RFQ for Custom Silicone Parts

A strong RFQ lets suppliers compare the same scope, identify technical risk early and respond with fewer assumptions.

An RFQ should do more than ask for a price. For custom silicone parts, it should define the application, finished part, approval method and commercial quantities clearly enough for the supplier to recommend a material and manufacturing route.

1. Describe the application

Explain what the part does and where it operates. Include temperature, media exposure, pressure, electrical requirements, cleaning, outdoor exposure and expected service life when relevant.

2. Provide a controlled drawing

Use a revision-controlled drawing or model with units, dimensions, tolerances and critical characteristics. Mark sealing surfaces, cosmetic areas and dimensions that affect assembly.

If no drawing existsSend a sample, photographs and a dimensioned sketch. The supplier can help develop a manufacturing drawing, but approval responsibilities should be agreed.

3. Define the material without over-constraining it

  • Material family and preferred grade
  • Hardness or acceptable range
  • Color and finish
  • Temperature and media requirements
  • Food-contact, flame or electrical documentation
  • Restrictions on curing system, odor or additives when applicable

If performance matters more than a specific formulation, state the required outcome and allow the supplier to propose an appropriate compound.

4. Give realistic quantities

Quantity input Why it matters
Prototype quantity Determines the sampling route.
Initial production order Supports launch planning and pricing.
Annual usage Influences tooling and process selection.
Order frequency Affects batch size, inventory and lead time.

5. Define the approval path

State what must be approved before production: dimensions, fit, appearance, material documentation, performance testing or a first-article report. Separate supplier inspection from application validation performed by your engineering team.

6. Include packaging and logistics

Silicone parts may attract dust, block together or deform if packaged poorly. Define cleanliness, bag quantity, labels, shelf-life expectations, export packaging and delivery destination.

7. Ask suppliers to identify assumptions

A professional quotation should state material, process, tooling scope, unit price, minimum order, lead time, sample plan and exclusions. Ask the supplier to highlight missing information and any proposed deviation from the drawing.

Better comparisons: Send the same revision and commercial assumptions to every supplier. Otherwise, the lowest quotation may simply represent the narrowest scope.
